Sending quotes quickly and efficiently is an essential part of the sales process. PRO Software allows you to send quotes by email directly from the system, ensuring that customers receive accurate and professional proposals instantly.
Steps to Send a Quote by Email
- Click "Send by Email"
- Navigate to the quote you want to send and select the email option.
- A new email window will open
- This window will automatically populate essential details.
- Review Auto-Filled Details
- Recipient Email: The system will auto-fill the customer’s email.
- Subject Line: The subject line is pre-configured based on your company’s settings (PRO Software can assist with setup).
- Auto-Filled Bold Text: Certain fields (quote details, customer information) are automatically pulled from the Sales Order Information and should not be edited.
- Invoice Attachment: The invoice for the Sales Order is automatically attached.
- Click "Send"
- Once all details are reviewed, click Send to email the quote to the customer.

Editing Your Email Quote
The built-in email system in PRO Software is designed to be user-friendly, similar to other email platforms. You can:
✅ Edit the content and recipients before sending.
✅ Modify wording or add attachments as needed.
✅ Create and save email templates for future use.
📌 Important: You can add content to the email, but do not remove bolded text, as this information is automated to streamline the quoting process.
Confirming the Quote & Sales Order
Once the quote is sent, you can:
- Confirm the Order
- Click Create Invoice or Send by Email for customer confirmation.
- Generate a Work Order
- Once the Sales Order is confirmed (by you or the customer), a Work Order is automatically created.
- Proceed with Billing & Dispatching
- After confirmation, the order is ready for billing and dispatching.
📌 Note: An invoice will not be created from a Sales Order until it has been confirmed by either the customer (signature) or by you.
