Understanding Sales Order Lines in PRO Software

Sales Order Lines are an essential part of building quotes, invoices, and sales orders in PRO Software. After setting up your customer, site location, and optional fields, you’ll need to add products or services that the customer has requested. Each Sales Order Line represents an individual product or service being sold.

Adding Sales Order Lines

Follow these steps to enter a product or service into a Sales Order:

  1. Click on a Line or "Add a Product"
    • A new window will appear.
  2. Select the Product or Service
    • Choose from the available list of products or services.
  3. Review Order Details
    • Ensure accuracy for:
      • Product Name
      • Quantity
      • Price
      • Descriptions and Invoice Notes (if applicable)
  4. Save the Product Entry
    • Choose one of the following options:
      • Save and Close – to finish adding/editing the product.
      • Save and New – to continue adding more Sales Order Lines.

📌 Note: Creating new products will be covered in a separate training module. Many products may already be available in your system after initial onboarding and data transfer.

Editing a Sales Order Line

  • If a change is needed, simply click on the Sales Order Line to re-open the product window.
  • Changes will only apply to this specific Sales Order. Other orders and the original product settings will remain unchanged.
  • Once changes are made, select:
    • Save and Close – to finalize.
    • Save and New – to continue adding Sales Order Lines.

Upon completion, the Sales Order will display all order lines, subtotals, and the total amount.

✅ Click "Save" to proceed to the Work Order.

Work Orders in PRO Software

A Work Order serves as the operational counterpart to a Sales Order, connecting the dispatch and driver team to the sales and accounting team.

Steps to Create a Work Order

  1. Click "Add a Line"
    • This will begin the Work Order entry process.
  2. Complete All Work Order Details
    • Choose a date for the job.
    • Indicate whether units are being dropped off, picked up, or both.
    • Add any necessary work order notes.
    • Select either:
      • SAVE & CLOSE – to finish.
      • SAVE & NEW – to continue adding additional lines.
  3. Finalize the Work Order
    • Once all lines are added, click Save.
    • This will return you to the main screen.
  4. Confirm and Send the Work Order
    • Click SAVE.
    • Choose to SEND BY EMAIL or Confirm.
    • Once confirmed (by the customer or you), a Work Order is officially created.

📌 Note: Pickups and Drop-offs are categorized as specials (specific actions for the driver to complete on-site). Every PRO Software instance includes five default specials to help users get started.

Sales Order Lines and Work Orders work hand-in-hand to ensure smooth order processing and dispatching. By following these steps, businesses can efficiently manage sales, billing, and on-site operations within PRO Software.
